Sharing Your Document

Hand over a link and build the same document together, live, even with people who never sign in.

livediagram is multiplayer from the first shape. Sharing is just creating a link and handing it over: whoever opens it joins the same canvas, sees live cursors, and edits alongside you. The person you share with does not need an account. For the full details see Sharing.

Open the document you want to share and click Share at the top right of the editor, or choose Share from the document's ⋯ menu in the Explorer. Only the document's owner can issue passes, so someone who joined through a link sees no Share button.

Under Issue a pass, click the role card to choose a role: Editor (draws with you in real time, the default), Participant (adds stickies, writes and votes, but can't reshape the board) or Viewer (watches, pans and zooms; can't comment, vote or change a thing). Valid sets how long it lasts: Forever, 1 week, 1 month or 6 months. In a document with several tabs, Opens can limit the link to one tab.

Click Create Pass. The link is copied for you straight away, ready to send to whoever you want in the document; each pass in the list also has its own copy button.

If you are a guest, check the name under Sharing as at the foot of the dialog first (or press the shuffle button beside it for another): that is the name peers see on your cursor and comments. A document saved to Local Browser has to be synced to your account before it can be shared.

The Share dialog: pick Editor, Participant or Viewer, set how long the pass is valid, then Create Pass. Live passes are listed below.

What happens when they open it

Someone opening your link for the first time enters the password if you set one, picks the name others will see (a signed-in visitor keeps their account name), and then lands on the canvas:

Everyone in a shared document sees the others' live cursors and a presence stack of who is here.
  • Live cursors and selections. Everyone sees where everyone else is and what they have selected.
  • Simultaneous editing. On an Editor pass, you both change the document at once. To avoid clashes, an element one person has selected is gently locked for the others while they hold it.
  • No sign-in required. A guest can edit straight away, the canvas never blocks them with a sign-in wall. See Guest vs account.

Managing and ending access

Back in the Share dialog you can manage links over time:

  • Multiple passes. Issue several, with different roles, for example a Viewer pass for stakeholders and an Editor pass for collaborators. They are listed under Passes.
  • Revoke a pass to cut off access through it. Expiring passes show a countdown, and expired ones move under Expired, where they can be extended or deleted. See Share Link Expiry.
  • Password Protection. Protect every pass with one shared password; everyone opening a link must enter it first, embeds included. See Share Passwords.
  • Community. The dialog's Community tab, beside Passes, publishes the document, once you're signed in, to the public Community gallery. A document in the Community can't have a password, and a password-protected one can't be published.

Want to put the document on a web page or in a doc? Each pass can also be copied as an embed (Copy iframe) or, while no password is set, as a live image that stays up to date. A Viewer or Participant pass embeds look-only; an Editor pass embeds an editable canvas. See Embeds.
