Every item has a type: Project, Task, Note, Idea or Action. A document starts with those five, and you can change them or add your own, such as a Customer call with an Outcome and a Followed up box. Card types belong to the document, so everyone working on it sees the same ones, at once.
Open Card Types
In Plan mode, press the Card Types button in the bottom-right corner, where Layers sits in the other modes (the strip shows once the tab has a board or Sheet that shows cards). The panel lists every card type in one list, each with its colour, its glyph and how many fields it has; a type no card has yet is drawn a little grey. Whether a template or a board brought a type or you made it yourself, it works the same way: you can rename, change or delete any of them.
- Add New Card Type makes a new one; press a type to edit it.
- Duplicate (the copy button on a type, or Duplicate in its editor) starts a new type from that one: same colour, glyph, fields and tabs, named "… copy" for you to rename. Nothing is added until you press Save.
- A new document has no card types. A template, or a board picked from Start Planning, gives the document just the card types it needs: a Hiring Pipeline has Role, Candidate and Onboarding Task, a Kanban board Task and Action. A Blank board brings none, so make your own or use Add Default Types. Boards you add later bring any of their types the document doesn't have yet.
- The types keep their order: the order the boards brought them in, then yours in the order you added them. A board's Add a Card follows the same order.
- Add Default Types adds any of Project, Task, Note, Idea and Action the document doesn't have, without changing the types it has. It asks first, naming the types it will add: press Add Types to go ahead, or Cancel. It shows only while one of them is missing. The five never appear unless you ask for them.
Only an Editor can change the types: a Participant or a Viewer sees the list but can't change it.
Edit a Type
The type editor (titled with the type's name, Edit Task Card Type say, or New Card Type) opens over the canvas (on a phone, it slides up from the bottom) in three tabs: Configuration, States and Display. It opens on Configuration, one scrolling page: the type's name and colour at the top, then Fields under them. A small red dot on a tab shows where something needs fixing before you can save. At its top right, Show Me runs a short tour of making a card type, the help link brings you here, and the cross closes it without saving.
- Name and colour (at the top of Configuration): one Name field holds all three. Press the Glyph at its start to choose one, type the name after it, and press the Colour swatch at its end to open the colour picker (any colour). Together they're how its cards look. Two types can't share a name.
- Fields (in Configuration, under the name and colour): what its card panel offers, laid out the way the panel shows them: On the Card (Title, and Votes), Details (the column beside the tabs) and each tab. Title and Status are always there, and a Project always keeps Start and Due. Drag a field by the handle at its left to reorder it within its group (it works with a finger too), or open its ⋯ menu to move it up or down, to another group, or take it off.
- Add Field offers the Built-In Fields the type doesn't have yet (Assignee, Priority, Due Date, Checklist, Comments...) and a New Custom Field: give it a name and a kind, which is Text, Long Text, Number, Currency (an amount in the currency you pick, shown as "£12,500"), Date, Checkbox, Link, Email (an address that opens in your mail app), Choice (one of the options you list, one a line) or Link to Card, a link to one card of a type you pick under Links To; a preview shows how it will look on a card. Then press Add Custom Field.
- Edit on a custom field changes its name and its options (and, for a Link to Card field, the type it Links To, or for a Currency field its Currency). To show it on cards, place it from Available Fields on the Display tab, like any field.
- Link cards together: add a Link to Card field to say how one card relates to another. Make a Person type and an Objective type, then give Objective a Link to Card field named Owner that links to Person. On an Objective, Owner is a field you click to pick a Person from a list (type to filter a long one); the arrow at its end opens that Person. On the Person, a Linked as Owner section lists every Objective it owns, with New Objective to make one already linked. When that list holds more than one card type or state, menus above it narrow it to one type or state. A board can lay its rows by Owner too, one row per Person. Parent is one of these too: a Task's Link to Card field to Projects. Rename it, point it at another type, or remove it, like any field you add.
- Tabs: each tab is a group in Fields. Rename it in its heading, move it with the arrows, or take it off with the cross (its fields go to Details). Add Tab makes a new one (up to six); Add Field at the foot of a group adds the field straight into it. Details and Overview can be renamed but always stay, and a tab left empty is dropped when you save. A type starts with one Overview tab holding its description, checklist and comments.
- States lists every status your boards use, each with a tick box; Select All and Deselect All do them all at once. Untick one and cards of that type can never be moved into it: the column turns red with "Task cards can't be Done" when you drag one over it, and the card's Status list leaves it out. New statuses are on for every type until you turn them off. You can turn them all off: cards of that type then stay in whichever column they're made in. Pick a Default State under them to say where a card of that type starts when it's made outside a board (from a linked card's New button, or by an AI tool); a card added to a board always takes that column's state. Types a template or board brings start with one already: Projects in Backlog, Tasks, Actions and Notes in To Do, Ideas in Ideas, Candidates in Applied and so on, whenever your boards have a state of that name (the menu shows it picked until you choose another).
- Display arranges this type's cards at each card size, right on the card: pick Minimal, Compact or Detailed, then drag any field to any part of the card (the header, under the title, the footer...): the field follows your pointer and a bar shows where it will land. To take a field off, drag it onto Available Fields or press its cross (shown when you hover it, and always on a touch screen); Escape cancels a drag. Available Fields lists the fields not on the card yet: drag one onto the card, or press it to choose where it goes. Each type a template or board brings starts with its own sensible layout (Notes and Ideas lead with their votes, Actions with their due date and checklist); its Reset to Default button puts a size back.
- Press Save to apply the whole edit, or Cancel to leave it as it was. If something is missing (a name, a Choice's options), it says so beside Save. Undo takes a saved change back.
Taking a field off a type never deletes anything: items keep what they hold in it, and it shows again if you add the field back.
Limits
A document holds up to 32 card types. Each type holds up to 24 fields, 12 of them custom, and up to 6 tabs. A Choice field has up to 20 options.
Delete a Type
Open the type and press Delete, then confirm (the last type can go too). Any cards of that type move to the Trash with it, so you can restore them there; a restored card shows as a plain Item card, keeping its fields. If a board showed that type alone, it shows and takes every type again; pick the ones it should show in its menu's Supported Cards.
Where Your Types Show
- + Add card on a board offers the types that board shows, set in its menu's Supported Cards.
- Add New Card Type at the bottom of Add a Card makes a new type right from the board: only that board's states start switched on, and once you save, the board offers it.
- A card's panel lets you change its type from the picker at the top.
- A board's rows can be one per type (Type under Swimlanes), in this panel's order.
When someone saves a change, everyone with the document open sees their cards and panels update at once. If two people save the same type at the same moment, the later save wins.
